Ground Rules
To maintain the highest standard of learning and ensure the integrity of the training, the following ground rules have been established
- 1. Scheduling and Payment Policy
- Courses are scheduled only after full payment is received
- Payment options include bank transfer or credit card
- Minimum of 4 students required per class
- 2. Physical Presence
- All courses require in-person attendance
- online or remote participation is not permitted
- 3. Classroom Requirements (If at Client's Location)
- The chosen location should have stable Wi-Fi internet access
- The classroom must be equipped with a whiteboard
- Equipment to project the PowerPoint presentation, such as a video projector or a monitor with HDMI connectivity, is required
- Desks and chairs should be provided for all attending students
- The classroom environment should be conducive to learning and free from interruptions
- 4. Cancellation & Rescheduling Policy
a. Notification Requirement- Clients must submit all requests for changes and notifications of cancellations exclusively via email to Inicia at training@inicia.co.jp
- Any changes initiated by clients must be mutually agreed upon with Inicia and confirmed in writing
b. Cancellation Fees- Full refund for cancellations notified at least 7 working days (excluding Saturdays, Sundays, and Japanese holidays) prior to the course start date
- Cancellations within 3-6 working days incur a 50% fee
- No refunds for cancellations within 48 hours of the course start date
c. Rescheduling Fees- Requests to reschedule less than 7 working days before the course start date are treated as cancellations and subject to the corresponding penalties
d. Class Size Reduction Fees- Reducing the number of students less than 7 working days before the course is treated as partial cancellations, subject to the same fees as full cancellations for the reduced participants
e. Course Cancellation by Inicia- In the event of a course cancellation by Inicia, registrants may opt for a full refund or transfer to another available course date
- 5. Weekend and Holiday Training Sessions
- Classes are offered from Monday to Friday
- Training on Saturdays, Sundays, or Japanese holidays is available at an increased rate
- 6. Attendance and Certification
- Attendees must be present for at least 90% of the course to qualify for certification
- Tardiness can impact the attendance percentage
- 7. Classroom Etiquette
- Mobile devices should be set to silent mode. In case of emergencies, the individual should step outside the classroom to attend calls
- Smoking is prohibited during class hours and within the classroom vicinity
- Active listening, participation when required, and respect for the instructor and fellow attendees are essential
- The use of laptops and other electronic devices is permitted only for class-related activities
- Engaging in work, internet browsing, or other non-class activities on these devices during class time is strictly prohibited
- 8. Course Translation
a. Inicia-Provided Translators- Our classes can be conducted in Japanese through the use of a professional translator
b. Client-Provided Translators- Clients have the option to use their in-house translator for the course
- It is mandatory that these translators possess native or near-native proficiency in both Japanese and English to ensure accurate and effective communication
c. Responsibility for Translation Accuracy- In the case of client-provided translators, Inicia is not responsible for any misunderstandings or miscommunications that arise due to translation errors
- 9. Course Materials
- All materials required for the course will be provided by the instructor
- Attendees should ensure they have these materials on hand for each session
- 10. Safety Compliance
- All participants are expected to follow safety guidelines, especially during practical demonstrations or exercises
- 11. Respect & Inclusivity
- Discrimination, harassment, or disrespectful behavior will not be tolerated
